Tender Description
The aim of the run is to attract the community to utilise The Hill Shire's high-quality reserves and recreation facilities in an organised and safe manner. The weekly events are to be all- inclusive so that participants of all abilities, ages and cultural backgrounds may enter.
Scope of Work
The Scope of Work to be covered by this contract is to include:
1. the planning and provision of a weekly timed 5km run;
2. liaising and consulting with the community and Council;
3. weekly run to be on a Saturday and commence at 07:00am with the aim of completing all by 08:30am when baseball holds their first game on Col Sutton Reserve;
4. the marshalling of the route;
5. the marshalling of all used parking areas (both road and carpark);
6. the immediate cleaning after use of the 5km route, the parking areas (both road and carpark) and the ablution facilities;
7. all organisational and planning matters relating to the proposed weekly timed 5km run not detailed above.
The successful respondent will enter into a Memorandum of Understanding (MOU) with The Hills Shire Council, followed by an allocation or licence agreement for a twelve-month trial period.The proposed MOU to be placed on public exhibition for a period of 28 days for community consultation. Thereafter, and once finalised, a non-binding MOU will be entered into with a view to finalising a binding allocation/ licence agreement for a twelve-month (12 month) trial period.
Council will not charge a fee for the use of the proposed route or amenities. In return, and at no cost to Council, the event organiser will ensure the 5 km route, surrounding areas (including parking areas), and all ablution facilities are cleaned and the ablutions restocked immediately after each Saturday event.
