Playground Level 1, 2, 3 (PAE-CCS-CoM)

⁠⁠⁠City of Port Adelaide Enfield, City of Charles Sturt, and City of Marion, invite persons (Tenderers) to submit offers (Tenders) to undertake the following services:

1. Conduct inspections at all identified sites, including:

a. Level 1: Routine Visual Inspections

b. Level 2: Operational Inspections

c. Level 3: Comprehensive Annual Audit

2. Identify, document, and report findings to the Superintendent’s Representative, including:

a. Any reactive maintenance required as part of the Maintenance Report

b. Incidences of graffiti on playground equipment

3. Carry out maintenance and reactive work in accordance with the Maintenance Report and other requests from the Superintendent’s Representative.

4. Ensure sub-contractors engaged for inspections or maintenance are suitably qualified, experienced, and competent to undertake the work.

5. Provide detailed electronic inspection reports for Scheduled Play Space Inspection Services under the Service Schedule, including:

a. Condition of each site and recommendations for future action

b. Inspection details for each observation, including:

     i. Unique inspection identifier

     ii. Council asset identifier (from master list)

     iii. Date, time, and inspector name

     iv. Observation type (from Council’s master list)

     v. Level of compliance and any comments

     vi. Actions required by Contractor or Council

     vii. Actions already taken

     viii. Photos of inspected equipment

6. Provide reports to Council in Excel format with links to PDF inspection reports, including:

a. Required maintenance, prioritised by risk

b. Priorities for future asset replacement, including estimated remaining life of equipment

c. Installation date of all equipment

d. Assessment of compliance with standards at the time of installation, and recommendations for meeting current standards

7. Ensure data compatibility with Council’s systems:

a. All collected data must be in a format importable into Council systems (e.g., Excel)

b. Use existing Council Asset IDs, linking all reports and observations accordingly

c. Include GPS coordinates for playground components not already in Council’s master list
