EOI – Catering of Council Meetings and Civic Functions 2026/2027

Overview

Walgett Shire Council is seeking expressions of interest from suitably qualified persons to provide catering services for Council Meetings, Workshops and Civic Events during the 2026/2027 period.

Council Meetings are held on the fourth Tuesday of every month, commencing at 10.00am and Council Workshops are held on the second Tuesday of the month commencing at 10.00am. Council on occasions may have an Extraordinary Meeting of Council.

There are no scheduled meetings in January.

Scope of Services

As part of your Expression of Interest, please consider the following requirements:

• Morning tea and lunch for Council Meetings are held in the Walgett Shire Council Chambers, located at Level 1, 77 Fox Street, Walgett.
• Catering is for approximately 16 people per meeting.
• Dietary requirements will be discussed, the successful applicant must be able to cater to allergies and specific dietary requests (eg vegetarian/gluten free)
• Catering should be provided on disposable or reusable service ware as appropriate.
• Any service or delivery items are to be collected on the afternoon of, or the following morning after the Council Meeting.
• Council is not looking for gourmet meals, catering needs to be simple and tasty.
• A proposed menu must be discussed with and provided to the Executive Assistant prior to each Council function.

Council Meetings

• Morning tea is to be provided prior to 10.00am and lunch prior to 12.00noon.
• Lunch should include a home style prepared meal, served hot or cold.
• Hot dishes must be delivered hot and placed in a warming appliance at Council until required.
• Morning tea should include a small simple selection of baked items and fruit.

Councillor Workshops

• Morning tea is to be provided prior to 10.00am and lunch prior to 12.00noon.
• Morning tea should include a simple selection of baked items.
• Lunch should consist of homemade sandwiches and wraps or similar items. This may vary slightly in colder months.

Civic Functions

On occasions, Council may require catering for Civic Functions or additional meetings. The caterer is expected to provide appropriate catering suited to the type of event. Planning for these functions will occur in consultation with the relevant Council staff member.

Submission Requirements and Lodgement of Expression of Interest

Submissions should include:

• A brief overview of you catering experience and services offered.
• An example catering menu for a Council Meeting.
• A breakdown of cost per head for different catering components (eg morning tea, lunch etc)
• A description of your food safety and hygiene practices.
• Any additional information that supports your submission.
